Terms of Use
- RELAY is an internal operational system for authorised business use only.
- Users must enter accurate request, job, machine, and contact information.
- Users must not upload unnecessary personal data, unlawful content, or material they are not authorised to share.
- Chat, attachments, notes, status history, and audit records may be retained for operational, compliance, and security purposes.
- Admin and operator users may access wider workflow data where required for business operations.
- Use of RELAY is subject to applicable UK law and any relevant international data protection or privacy requirements.
Data Protection Clause
AURORA Systems will process personal data used within RELAY in accordance with applicable data protection law, including the UK GDPR and the Data Protection Act 2018, and, where relevant, other applicable international data protection and privacy laws in the jurisdictions where RELAY is used or where personal data is accessed, stored, or transferred.
Personal data processed through RELAY may include names, contact details, job and ticket information, machine and location references, chat content, attachments, and operational records. Such data will be processed only for legitimate business purposes connected with parts request management, workflow administration, support communication, audit logging, security, and service improvement.
AURORA Systems will implement appropriate technical and organisational measures to protect personal data against unauthorised or unlawful processing, accidental loss, destruction, damage, or disclosure. Access to personal data in RELAY will be restricted to authorised users with role-appropriate permissions.
Where personal data is transferred outside the United Kingdom, AURORA Systems will ensure that such transfers are made only where permitted by law and subject to appropriate safeguards, including adequacy arrangements or approved contractual transfer mechanisms where required.
Personal data will be retained only for as long as necessary for operational, legal, security, and audit purposes, and will then be securely deleted or anonymised where appropriate.
Users of RELAY must ensure that any personal data entered into the system is accurate, relevant, limited to what is necessary, and shared only for legitimate operational purposes. Users must not upload excessive, irrelevant, or sensitive personal data unless strictly required and authorised.
Data subjects’ rights, including rights of access, rectification, erasure, restriction, and objection, will be handled in accordance with applicable law and internal data protection procedures.
